THE ROLE

Due to the expansion of our Cape Town office, including the creation of a secondary location for Development and Solutions, we are now looking for an HR & Office Manager to join the team. Reporting into our Lead HR Business Partner, you will be responsible for the day to day running of the office and providing local HR support. You will work as part of the Global HR Team to help ensure efficient, effective, and consistent HR and office management support to the region.

You will be naturally hands-on and pragmatic, willing to roll your sleeves up, and enjoy fully immersing yourself in all aspects of your role (and beyond!). We may be an established organisation, but we retain our start-up mentality, and that can mean that no two days are the same! You will take pride in delivering high-quality work, evaluating current practices, and highlighting opportunities to improve our ways of working.

RESPONSIBILITES

HR ADMINISTRATION

New starter onboarding:

  • Preparing contracts of employment for new joiners (post acceptance of offer)
  • Ordering and distributing new joiner IT and other equipment
  • Managing new starter onboarding and inductions
  • Creating and maintaining all employee files and records
  • Organising new starter events and conducting new joiner check-in calls
  • Month 1 check in call with new joiners, month 2 new joiner survey, month 3 (or end of probation) - confirmation letter and benefits info.

Employee offboarding:

  • Preparing and sending acknowledgement of resignation letters
  • Administering the employee offboarding process
  • Ensuring exit interview questionnaires are completed and saved in relevant file
  • Ensuring the safe return of any access passes, keys, IT equipment, etc.

Other:

  • Administering the HR system (Bamboo)
  • Providing regional weekly HR updates and attending HR team meetings
  • Monitoring sickness and absence levels and highlighting any areas of concern
  • Administering the local benefits programmes including building relationships with providers
  • Supporting centralised training initiatives
  • Ensuring annual required training and policy attestations are complete
  • Supporting recruitment administration for Cape Town roles, including arranging interviews and technical assessments with candidates, and hiring managers, collating interview feedback for offer approvals, and maintaining an ongoing dialogue with candidates in the interview and offer process.

OFFICE MANAGEMENT

  • First point of contact for office management queries in Cape Town
  • Ensuring compliance with local Health and Safety requirements
  • Appointed First Aider & Fire Warden (Company training will be provided)
  • Managing the Office space and facilities
  • Supporting the contract renewal and expansion process, including office moves
  • Working collaboratively with IT and other teams to ensure efficiency and comfort of the office environment
  • Ensuring sundries and office supplies are stocked regularly
  • Liaising with building management (Spaces), any local suppliers and contacts

EXPERIENCE AND QUALIFICATIONS

  • Previous experience in an HR focused role is essential, ideally with experience of office management, overseeing the day-to-day operation, and associated regular tasks
  • Naturally collaborative, with excellent interpersonal and communication skills
  • Resourceful and efficient with a strong 'Can Do' attitude
  • Able to effectively prioritise workload and manage multiple tasks
  • Hard working, able to respond to evolving needs and manage conflicting priorities
  • Previous experience of working with an HR system is preferential
